Archiving Old Email

Archiving
mail simply refers to storing it in a location other than the mail
server. You can choose to archive mail to your computer's hard drive
or to your Home space on the server CED3. If you are a windows user,
we recommend you to archive mail to your Home space (H: drive in My
Computer). |

| 1. Launch
GroupWise and select 'Options' from the Tools menu. |

In the Options window, click on 'Environment.' |
| |
| 3.
In the Environment Preferences window, select 'File Location' tab. |
| |

| 4. You
should now see a blank field labeled 'Archive Directory. A small 'Select
a Folder' dialog window should appear, allowing you to indicate where
you want your archived mail stored: |

| Assuming
you're archiving your mail to your CED3 Home space, make sure you
choose H: drive. |

| 5. Click 'OK' in the Environment Preferences window
and 'Close' to close the Options window. |

| 6. In your GroupWise mailbox(es), highlight the
messages you wish to archive (hold down the 'Shift' key to highlight
multiple messages) and select 'Archive' from the Actions menu or Right-click
the messages then select ‘Archive’. (You may want to archive only
a handful of messages at a time, especially if you're archiving your
mail to CED3. Archiving several hundred messages at once can tie up
your computer for several minutes.) |

| Once
messages are successfully archived, they will disappear from your
GroupWise mailbox(es). If you archive mail that resides in different
folders under the Cabinet, GroupWise will automatically re-create
the same directory structure in the archives, maintaining the same
relative locations of your messages.

| To read
archived messages, go to the File menu and select 'Open Archive' and
your messages will re-appear. Select 'Close Archive' from the File
menu when you're done and want to return to your current mail.

| The
archiving process will create a folder with a strange name like 'oflqqarc'
in the directory you selected in Step 5. Do not delete this
folder or its contents -- it contains your archived email. Please
note that these archive files are stored in a proprietary file format.
You will not be able to open the files and read the messages
with a word processor; archived mail can only be read through GroupWise.
